What are the best productivity tools?

A good way to answer this question is to think about the list of things that take up the most of our time on a daily basis, and look for the tools that help us make them agile.

Productivity means making the most of resources. I would argue that time is the most valuable resource we have, right? What do we spend the most time on unproductively?

In this article, we present you the productivity tools we use in the Genially team that work best for us. It’s sure to benefit you!

Is productivity part of your New Year’s resolutions?
At the end of each year, we make lots of plans and the famous list of good resolutions. Those who understand say that long lists of New Year’s resolutions don’t work, and I think that’s true. At least in my case.

Ideally, you should aim to improve yourself a little at a time. The productivity apps on the following list will be a great help… If you don’t try to use them all at once.

Choose the one you find most useful and integrate it into your particular suite. To get the most out of a tool, you have to learn how to use it, but this is not an expense, it’s an investment! Also, all the tools on this list are very easy to use. Once you’ve mastered one, you can move on to the next. You can also make the most of the one you like the most (you don’t have to use them all).

10 productivity tools that will become part of your work

  1. Notion: to have everything in one place and tidy!
Notion is a tool created to gather all the information you manage in one place. But it’s much more than that: the tool offers you different options to organize your files in very convenient workspaces that can be accessed in different super convenient views.

In particular, it’s the perfect tool for team telecommuting, because it’s online. The whole team can access information in real time. All you need is an email address to create a Notion account, and the content is synced on all devices where you use that account.

You can connect Notion with your Trello, Asana, Google Docs, Workflowy, Evernote and many other accounts. And you can insert many content formats: cards, videos, GIFs, tweets… and even genially!

The best thing to do is to start by creating a workspace and inviting the people you want. You can have as many workspaces as you want. For example, you can create a space for each project you are involved in and share it with your team.

This shared space can be your folder, your calendar, your task administrator… To simplify your work in Notion, you can use the templates and also take a look at this post with tips on Notion. Every minute you invest in learning how to use this tool will be returned, believe me!

  1. Trello: simpler and better organized processes
With Trello, it will be very easy for you to create a digital Kanban board to track your projects in the most visual way possible.

Does the term ‘Kanban’ ring a bell? It means ‘Card’ in Japanese and refers to a work methodology that helps manage processes efficiently, using cards to make the steps of a process or flow visible. On Trello, you can add all kinds of information to the cards: descriptions, lists, deadlines… So you can organize the process in your own way.

Trello works on all devices and is compatible with all major browsers. It’s super intuitive and, to make it easy to get started, it offers many customizable templates grouped by topic.

The tool also allows for automation to lighten workloads, and integrates with many tools: Slack, Google Drive, Dropbox….

Trello is considered a productivity tool for entrepreneurs. Its free version is very complete, so you don’t need to invest a single euro to try it. You will love it!

  1. Asana: top project and team management in real time
Asana is, like Trello, a great project management tool for planning and organizing teamwork. It integrates with over 200 tools and is perfect for more complex projects.

In Asana, the team finds a shared space where they can view tasks and deadlines. Streams, calendars, and dashboards are very easy to create and very useful for coordinating the work of multiple people. In addition, dates and deadlines can be assigned to tasks.

This work productivity application is designed so that all information can be entered at a glance. All project information is displayed in real time on the dashboard, allowing you to see how everything is progressing and to detect any bottlenecks or delays.

Thanks to this tool, it is possible to efficiently distribute tasks and reduce the number of meetings. Plus, being able to check on all updates means you can say goodbye to endless chains of emails asking what’s been done and what hasn’t.

  1. Slack: goodbye to chain emails
You probably already know that Slack is an instant messaging application designed for work teams, but why is this communication tool also considered a productivity tool? Because of the amount of options it offers.

Once all team members are added to Slack, everyone can start discussions between two or more people, or create channels for each project in a very simple way. I even leave notes to myself, and I know I’m not the only one.

Want to discuss something with multiple people at once? Add them to your direct message and you’re online for a real-time conversation on any topic. Working on a new project that needs a common space? Create a channel: you can add information about the project, documents, images…

Among its many advantages is the fact that the chat stays up until you delete it, so you can always find the conversation and see what was discussed last time. Also, by adding pins to the conversation, you can freeze the most important information or documents, so you can consult them at any time. Ah, and it is also very useful for a quick call or an agile video call.

Slack integrates with several tools, so you can add content from different platforms to a conversation by simply adding a link to the resource.

  1. Microsoft 365: the most popular tools in the world
Microsoft 365 is the Office of all time, but in the cloud: a suite of tools that runs in the cloud and includes some of the world’s most popular applications – Word, Excel and PowerPoint.

Microsoft 365’s productivity application offering is complemented by the other tools included: workspace, video conferencing, instant messaging, and more. The approach of this product is to be able to perform as many tasks as possible without using external applications and making a seamless connection between the tools.

Being in the cloud, it is a highly recommended option for collaborative work, both face-to-face and remote. Moreover, thanks to the integration between Microsoft and Genially, it is very easy to distribute your content through its tools.

  1. Shift: all your accounts in the same window
When you have several accounts on the same application, it can complicate your daily operations. A lot of time is wasted logging in and out to switch between them, exactly what you don’t want: to waste time!

Using an app like Shift allows you to log in to different accounts and switch between them with one click. You can add all your email accounts from different providers and countless applications. You’ll be amazed at how many tools can be integrated.

In addition to being able to easily switch between accounts, when you use Shift you don’t need to have as many tabs open. The icons of the applications you use are displayed vertically on the left, so they take up less space and are easier to reach.

Another option this application offers to improve your productivity is that you can create a workspace with the tools you normally use. A space of your own where you can find everything you need at hand, without distractions. Your navigation will become much more efficient.

  1. Google Workspace: the productivity suite
Like Microsoft Office 365, Google Workspace is not an app, but a complete suite of tools. Both products offer very similar functionality and features, but there is one fundamental difference between the two choices: Google Workspace offers 15 GB of free storage.

This Google product has become a strong competitor to Microsoft’s suite, able to stand on par in any comparison. The applications that make up the Google suite are also complementary and can be used on any device. There is also an extension for working without a connection and the content is synchronized on all the devices on which the account is used.

The Google Workspace tools integrate with Genially in a million ways. It is possible to insert content from Google Drive into your Geniallys, make charts with data from Google Spreadsheets and much more. Here you can find information about Genially integrations with Google that will make your work more productive. It’s well worth the effort!

  1. Pomofocus: success is all about choosing the right focus
You don’t know this tool with a strange name? Well, it is as effective as it is easy to use. It’s based on the “pomodoro” technique, a system for improving your personal productivity at work or school.

And how does it work? Like a stopwatch. You plan the day’s tasks, define the time you want to spend on each of them and, when you start working, you set the timer. The duration of each pomodoro is usually 25 minutes.

The trick is to not let anything distract you during the pomodoro, which is much easier to manage when there is a countdown timer. Between tasks, you can schedule a short or long break, depending on your needs. For example, 5 minutes for short breaks and 20 minutes for long breaks.

Dividing tasks into blocks of time will help you get more organized, and also, it’s easier to make the effort to focus (or any effort) if you think it’s for a limited time. Try it and see!

  1. Calendly: calendars that plan themselves
After a short period of using Calendly, you’ll wonder how you ever got along without it until now.

The way this productivity application works is very simple: you create your account, specify your work schedule, add all your calendars to synchronize, and that’s it! From then on, whenever you need to schedule a meeting, the tool will search for the slots for you.

It has other features that make it very useful. For example, automatic reminders before meetings, the possibility of setting the time between meetings or a maximum number of meetings per day, or the unification of the time zones of all the people participating in the meeting to avoid confusion.

Scheduling meetings will become as easy as sending a link. And you will have a lot of time to spend on more productive things…

  1. Genially: interactive content to help you get organized
Genially is an interactive content creation tool, but it also has many resources to help you boost your productivity.

In Genially, you’ll find many templates for creating calendars and planners. For example, check out this template to create your annual productivity planner:

I want this template!
There are super visual templates to create weekly, monthly, or yearly calendars. Plus, Genially integrates with almost all of the tools mentioned above. You can create any content and share it in a Notion workspace, through Slack, or on a Word, etc. Give these templates a try!

Using interactive content to share your ideas or planning allows you to display as much information as you want, which you can add in different formats. Once your creation is complete, simply send the link to the people you want to share it with.
